Our e-mail servers are not designed to store mass e-mails for an extended length of time. Usually users of Outlook or Outlook Express (and other POP mail readers) “pick up” their e-mail regularly. That is, their mail program connects to our server and transfers the e-mail to their local machine and thus, empty our mail store for their mailbox.
Sometimes these programs are configured incorrectly (or intentionally) to “keep a copy” on the remote server (our mail server) and thus the e-mail is not removed from our system.
This is easily remedied by configuring the e-mail application NOT to keep a copy on the server.
In Outlook Express, the setting you need to correct is called “Leave a copy of message on server” and is found under Tools/Accounts/[mail account]/Advanced tab. See screen snapshot below:
In Outlook there is a similar setting in your account preferences.
